Job Description
Job Purpose:
For a specified territory/business, provide a highly efficient, service orientated order fulfillment process for both internal and external sales, including order acceptance; transportation booking/scheduling; shipment documentation provision and invoice processing, in line with customer requirements.
Key Accountabilities:
• All duties are to be carried out at all times in compliance with all Huntsman Corporate EHS, SOX and business conduct policies and guidelines.
• Support the delivery of defined, high quality transactional and business service associated with the Order Fulfillment process, to agreed performance and cost targets, on behalf of all relevant businesses & sites in an environment that encourages continuous improvement to the underlying global processes and outcomes
• Complete the order process from receipt of customer orders (planned or otherwise) through to despatch and then invoice, using standard SAP processes and functionality
• Pro actively respond to customer queries e.g. order status, order amendments, thereby ensuring a high level of customer service
• Monitor customer account and/or order status on a regular basis, resolving problems with potential customer impact e.g. credit blocks, delivery issues.
• Control the delivery process within SAP, preparing associated documentation for goods despatch, booking transportation in line with site through-put capabilities, agreed lead times and internal HSSC guidelines. Ensure all processed despatches are ready for billing, system housekeeping is up to date, and all outdated stock demands are removed promptly.
• Refer availability/forecast issues to the Order Fulfillment Team Leader for resolution with relevant parties.
• Control customer based Vendor Managed Inventory / Consignment / Silo stocks as appropriate for assigned territories.
• Control the settlement process for rebates and commissions associated with the allocate customer base.
Technical Skills, experience and knowledge:
• Complete secondary school education.
Diploma or equivalent qualification in a related subject (or demonstrated thinking skills equivalent to) e.g.:
Business Administration or International Trade
• Exceptional telephone customer service skills and a clear verbal communicator.
• Possess a sound understanding of our business, specifically in the area of:
1)Product range
Packaging
Test methods
Key properties and application areas
HSE performance
Production process
2) Marketing & sales strategy as it relates to the order fulfillment process
3) Knowledge of our customer base & associated requirements
4) Detailed understanding of the interaction between forecasting, product sourcing, production planning/constraints, allocation and the practical impact on delivery times and service.
5) Understanding of our geographic supply networks and the associated documentation requirements for each market serviced by the site.
6) Knowledge of haulier routes and associated information requirements.
7) Of the Order to Cash process, including knowledge of integration touch points with other HSSC service areas.
• In depth knowledge of relevant areas of SAP SD module coupled with IT/PC literacy, specifically in the use of spreadsheets, word processing & Lotus Notes
• Level 4 in two European (French, Spanish, Italian, German, Polish) languages, one of which must be English.
