Role: French Speaking PA / Secretary
Our client is looking for an experienced PA / Secretary to provide efficient and confidential day-to-day support to the Group HR Director; providing a proactive service that ensures the smooth running of her administration. You will need to continuously improve the effectiveness of the Group HR Director for the benefit of the Company, Department and the Director.
Key responsibilities:
·Organise the HR Directors ad hoc and regular meetings and conference calls ensuring rooms and conference numbers are booked and communicated
·Ensure all documents and papers required by the HR Director are prepared in advance of meetings and calls using your French language skills
·Prepare reports, presentations and important memos with and on behalf of the HR Director
·Arrange all travel, accommodation, ground transportation and track costs
·Manage the renewal of personal data for HR Director such as passports, credit cards, driving license, professional memberships, airline memberships
·Manage and filter incoming calls both internal and external to ensure HR Director handles only essential matters using your French
·Liaise with the Human Resource Team to ensure meetings are managed, attended, actions are executed to deadlines and commitments are kept
·Assist the HR Director with the organisation of new senior employee inductions ensuring every detail is attended to in advance
·Ensure that HR invoices are checked by the relevant HRM, signed off by HR Director and then follow up with Accounts team when necessary
·Co-ordinate the broadcast of the HR Focus Notes including ensuring HRM\'s meet deadlines, gathering pictures of new starters and broadcasting it on e-mail and on the intranet
·Gather employee news from HRM\'s on a monthly basis, draft e-mail and gain HR Director approval and then send to Senior Management
·Support the HR Director\'s lifestyle requirements including concierge services such as dry cleaning and paying of domestic bills
Skills and qualifications:
Essential
·Highly organised work methods
·Structured, logical thinker, able to multi-task
·Clear sense of prioritisation and adaptable and flexible approach
·Highly motivated and committed individual
·Prior secretarial work experience in a high pressure, fast environment
·Strong computer skills especially in Power point, excel and outlook
·Friendly manner – outgoing with a good sense of humour
·Very strong attention to detail
·Naturally helpful and attentive to boss\'s needs and emotions
·Worked with different cultures
Desirable
·A second European language; French preferable
·Exposure to American organisation
·Previous experience in an HR environment a bonus
