PURPOSE OF ROLE
We have a fabulous opportunity for a Coordination Executive to join our inbound services department in London, supporting the night shift team. This role provides an excellent level of customer support through smooth running of tours and efficient problem solving while they are in responsible territory.
Co-ordinators are also expected to function as local PR agents and sales supports in order to maintain existing customer relationship and to promote future businesses. Join a winning organisation!
DUTIES AND RESPONSIBILITIES
Checking itineraries and making sure schedules are feasible
Contacting and liaising with tour leaders/clients to ensure smooth running of tours
Dealing and solving problems that arise on the road
Acting as an emergency assistance to tour leaders/clients
Meeting and greeting clients/tour leaders , accompany important groups when require
Coordinating service/hotel reservations amendments/extra arrangements according to customers’ requests or change of schedules on the road
Liaising with sales offices, suppliers, and other departments/local offices within GTA regarding the itinerary issues, tour status, and problems on the road
Negotiating with suppliers to maximize GTA profit margin
Negotiate and contract Restaurant, GAI, TE, AS or Driver Guide contract
Assign and allocate GAI, TE, Driver guide work assignment.
Monitoring quality of suppliers through actual services provided
Carrying an emergency after-hours mobile phone and working on weekend/public holidays on a rota basis
Working rotational day and night shifts on a rotational basis, hours to be agreed in advance and in consideration of business needs.
KNOWLEDGE, SKILLS AND BEHAVIOURS
A college/university degree, or equivalent working experience within travel industry is compulsory
Previous experience in customer service/travel industry is essential
Understanding of Japanese in culture and its market requirement are desirable
Good English language skills are compulsory
Native fluency level of Japanese language skills are essential
Working availability to work night shift hours
Strong problem solving skills
Excellent communication and organizational skills
Ability to work under pressure
Ability to build good relationships with suppliers and clients
Motivated and a team player with a pro-active attitude and initiatives
Computer literature, experience working with Microsoft office site, Outlook, Work, Excel preferable.
