Spanish or French Speaking Project Coordinator / PA

Location: Hertfordshire

Our client, an international company, is seeking to recruit Spanish or French Speaking P Project Coordinator / PA for their office based in Hertfordshire

Job Role

You will be responsible for Project Coordination, Business Development, Administration and act as a PA to the Project Development Director

The Project Coordinator / PA:

• Is courteous and respectable to all team members, colleagues, management and Owners.
• Maintains a high degree of confidentiality in all aspects of the job and tasks performed.
• Maintains a well-organized filing and document referral system.
• Organises/ coordinates the logistics and requirements/ programs of corporate meetings as required.
• Works towards eliminating waste of material and HLP.
• Ensures that office hours are respected (opening and closing) and communicates to the field as necessary. Current office hours are 09.00 – 17.00.
• Takes notes in a notebook (not on single sheets) and uses an electronic diary for follow up purposes.
• Handles own special projects as assigned by the Project Development Director and meets agreed deadlines and quality work standards.
• Presents all work in a professional and timely manner.
• Takes dictation as and when required.
• Organises the filing and paperwork in general of the Development Director and provides efficient secretarial services.
• Handles all aspects of travel arrangements for the Corporate Team. Communicates travelling schedules with the purchasing entity, uses the internet to verify best airfares and maintains contact with appointed external travel managers.
• Takes accurate minutes of meetings and ensures distribution within 48 hours of the meeting.
• Organises daily meetings and keeps the diary of the Project Development Director when in office.
• Keeps on file quotations, receipts, delivery notes and goods from the suppliers.
• Office main line is manned from 09:00 – 17:00 during working days. Ensures that proper telephone etiquette is used
• Informs the Project Development Director immediately when the Chairman calls.
• Receives all incoming external and internal mail/ e-mail/ memos and distributes to the relevant persons, as appropriate and responds to queries as required.
• Company policy is to respond to emails within 60 minutes of receipt unless communication is received during week-ends and holidays.
• Handles all incoming post/ mail, fax transmissions and distributes to the relevant team members immediately. Monitors outgoing fax transmissions.
• Team members who are out of station need to activate the “out office reply message”.
• Liaise with other Team members to ensure full office cover and manning of telephones, including holiday and sickness
• Handles the incoming and outgoing correspondence of the Project Development Director and ensure it is distributed on time to the respective internal, external departments/ companies whether by mail, email, fax or otherwise.
• Is responsible for the timely follow-up of all actions related to existing or new development projects
• Deals with all prpject correspondence and documents, including preparation of proposal letters, management contracts, letters of intent, confidentiality agreements, term sheets etc.
• Is responsible for the soft and hard filing of all master files, their updates and distribution on a Corporate level.
• Is responsible for the filing of all project related documentation, including correspondence, contracts, financial data, master plans, brochures etc.
• Is responsible for organising monthly Business Development meetings, updating the corresponding summary sheet and timely follow-up of action plan

The Candidate

You will need to match the following skills:

• Previous experience in one of the following areas: Real Estate, Construction / Development or Hotels & Resorts (preferable)
• Flexible with a Confident & outgoing personality
• Ability to communicate in Spanish or French
• Excellent organisational, interpersonal communication skills
• Well versed in using Microsoft office including Excel and Word

Salary: £25-27, + 50k OTE
